Managing tenants

Each tenant in belsimple represents one organisation. All data — users, tasks, time entries, classifications, documents, and audit logs — is fully isolated between tenants.

Creating a tenant

  1. Go to the Tenants page.
  2. Click Create tenant.
  3. Enter the tenant name (the organisation’s name).
  4. Configure limits (or keep the defaults).
  5. Click Create.

After creating a tenant, you’ll typically invite the first manager so they can begin setting up their organisation.

Tenant limits

Each tenant has configurable limits:

LimitDefaultDescription
Maximum users1,000Total accounts (active + deactivated + pending invitations)
Maximum file size10 MBPer-document upload limit
Maximum docs per employee10Documents linked to a single employee
Maximum total size per project/grant100 MBCombined document size for a project/grant label

To change limits, click on a tenant and edit its settings.

Managing tenant users

Click on a tenant to view its users. From the tenant detail page you can:

  • Promote an employee to manager.
  • Reactivate a deactivated user.
  • Deactivate a user (with session invalidation and data retention).

Recovering a locked-out tenant

If a tenant has no active managers (they were all deactivated or left), you have two recovery paths:

  1. Invite a new manager — use the invite button on the tenant detail page. The new user receives an invitation email and joins as a manager.
  2. Promote an existing employee — find an active employee in the user list and promote them to manager. If the only candidates are deactivated, reactivate one first, then promote.

Classification templates

Templates are global starting points that tenants can use when creating classifications. Currently available:

  • Frascati R&D categories — Fundamental Research, Industrial Research, Experimental Development, Non-R&D.
  • Simple R&D eligibility — R&D, Non-R&D.

Templates are just a starting point — once a tenant creates a classification from a template, there’s no ongoing link. They can rename, add, or remove classes freely.
