belsimple lets managers upload and manage supporting documents. These can be linked to a specific employee (e.g., employment contracts, diplomas) or to a project or grant (e.g., grant agreements, funding applications).
Uploading a document
- Go to the Documents page.
- Click Upload.
- Choose a file (any file type is accepted).
- Select whether the document relates to an employee or a project/grant.
- For employee documents: select the team member.
- For project/grant documents: enter a label (free text, e.g., “VLAIO HBC.2024.0123”).
- Click Upload.
Limits
Your organisation has the following upload limits:
- Maximum file size — default 10 MB per file.
- Maximum documents per employee — default 10.
- Maximum total size per project/grant — default 100 MB.
If an upload exceeds a limit, you’ll see a clear error message explaining which limit was reached.
Managing documents
- Download — click on any document to download it.
- Delete — remove a document you no longer need. Deletion is permanent.
What to store
Typical documents for R&D compliance and grant reporting:
- R&D project descriptions and work plans
- Employment contracts for R&D personnel
- Diplomas and qualifications
- Notification forms (e.g., Belspo)
- Grant agreements and amendment letters (VLAIO, SPW Recherche, Innoviris)
