All user accounts in belsimple are created through invitations. Users cannot self-register.
Sending an invitation
- Go to the Users page.
- Click Invite user.
- Enter the person’s email address. No role is specified at invite time — all new users start as employees.
- Click Send invitation.
The system sends an email with an invitation link. What happens when the user clicks the link depends on your tenant’s authentication setup:
- Password login enabled — the link takes them to a page where they set their password. Once set, their account is active.
- SSO only — the link activates their account and redirects them to your SSO provider to log in.
Invitation details
- Links expire after 5 days. If an invitation expires, you can re-send it from the Users page.
- Pending (unaccepted) invitations count toward your tenant’s user limit.
- Each invitation uses the invitee’s email address as their username.
After they join
New users get the Employee role by default. To promote someone to Manager:
- Go to the Users page.
- Find the user in the list.
- Change their role to Manager.
Deactivating and reactivating users
- Deactivate — the user can no longer log in and their active sessions are immediately ended. Their data (time entries, audit events) is fully retained.
- Reactivate — restores the account to its previous role.
- If you deactivate someone with a pending (unaccepted) invitation, the invitation and account are deleted entirely.
The system warns you if deactivating a user (including yourself) would leave the tenant with no active managers.
