Projects

Projects let you organise your work around grants, funding applications, or R&D claims (such as Belspo tax exemption claims, VLAIO grants, or EU Horizon projects).

Creating a project

  1. Go to the Projects page from the dashboard.
  2. Click New project.
  3. Enter a name, optional reference number (e.g. the grant application number), and the project’s start and end dates.
  4. Click Save.

Linking classifications

Each project is linked to one or more classifications. The linked classifications represent the work packages or activity categories relevant to the grant.

  1. Open a project and click the classifications button.
  2. Select the classifications that apply to this project.
  3. Click Save.

A classification can be linked to multiple projects. For example, a “Software Development” classification could be relevant to both a Belspo claim and a VLAIO grant.

Generating a report

The report wizard assembles a filing package (ZIP file) containing everything needed for a grant submission.

  1. Click the Report button on a project row.
  2. Select period — choose the reporting period (defaults to the project’s full date range). You can narrow this for annual or interim reports on multi-year grants.
  3. Review team — the system automatically identifies everyone who logged time against the project’s classifications during the selected period. You can exclude individuals by unchecking them.
  4. Select documents — for each included team member, choose which of their uploaded documents (CVs, diplomas) to include. Project-linked documents are also shown.
  5. Generate — click to create the ZIP file. It downloads automatically.

The ZIP contains:

  • A time report (Excel) with per-employee hours broken down by classification
  • A project summary with team roster
  • Selected employee documents (organised by person)
  • Project documents
  • A manifest listing all included files

Project status

Projects can be in one of three states:

  • Active — the default state for ongoing projects.
  • Completed — for finished projects (still visible in the list).
  • Archived — hidden from the default list. Use “Show archived” to see them.

You can change status using the action buttons on each project row.
